Enquiries and orders

Our enquiry forms ask for your name, email address, training interest or preferred clothing sizes, and an optional question. Shop enquiries also ask for quantity, pickup or shipping preference, an optional phone number and, for shipping quotes, your city, province or region, postal code and country. When the button says “Send enquiry”, submission saves your enquiry privately and requests email delivery to you and Code Black. If online delivery is unavailable, the button says “Continue in email” and prepares a draft in your email app; you must send that draft yourself.

We use the information you send to answer questions, confirm availability and sizes, prepare shipping quotes, and arrange an order or training. If you request shipping, we will need a delivery name and address to fulfil the order, and will share the necessary delivery information with the carrier. Please do not send card numbers, medical details or other sensitive information in these forms or by email.

For enquiries about anyone under 18, a parent or guardian should provide their own contact details. A child’s full name, date of birth and medical history are not needed for an initial website enquiry.

Email, payments and hosting

Enquiries sent to our business Gmail address are handled through Google’s email service and your chosen email provider. Helcim processes membership and one-time payments. For enabled purchases and embedded membership signups, its secure card window opens over this website. Other membership payment options may open a Helcim-hosted page.

For embedded membership signup, we send the payer’s name and contact phone number to Helcim to create their billing profile. Helcim collects payment details and any requested billing address, email and phone directly in its secure window. It verifies and stores the payment method, then processes the initial membership payment and scheduled renewals under the payment authorization. A parent or guardian supplies the billing contact details for a participant under 18.

Our private membership payment record contains the program, amounts and HST, Helcim customer, subscription and payment references, verification status and next billing date. The website does not store full card numbers, CVV codes or card-payment tokens. These billing records are linked to the saved registration. A Helcim billing profile is separate from a customer-portal login. Completing website signup does not require creating a website password.

The website is hosted through OpenAI Sites using Cloudflare infrastructure. Hosting providers may process technical request information, such as IP addresses and browser details, to deliver and protect the site. Service providers may process information outside Canada, where local laws may apply.

Links to Google Maps, Instagram, Facebook and payment pages lead to other services with their own privacy practices.

Business enquiry follow-up

We keep a private lead record to respond to business enquiries and follow up on a requested class, visit or service. It can contain your contact details, how you contacted us, where you heard about us, program interest, enquiry and follow-up dates, brief business notes and registration or membership status. The owner may record business details you provide by email, text, phone, at the gym or through the gym’s Messenger page. This does not connect a personal text-message inbox or import unrelated conversations. A parent or guardian’s contact details are used for an enquiry about a child.

We use the source you provide to understand which advertising brings enquiries and confirmed members. Reports cover recorded enquiries; we do not identify anonymous website visitors. Lead records are restricted to the business owner and do not subscribe you to marketing. Contact us to correct your details or ask us to stop following up.

Cookies and marketing

The website does not send your form answers, name, email, phone, signature or payment-card details to analytics. If Google Analytics 4 is connected, it loads only after you allow optional analytics. It measures page visits, selected buttons, scroll depth, form starts, completed enquiries and registrations, checkout starts and verified purchases. Purchase events include an order reference, amount before tax and HST separately. Private access tokens and full query strings are excluded. Google may process technical data such as your IP address while providing the service, and may process data outside Canada. Advertising features and personalisation are not enabled by our integration. We do not use session recordings. You can decline and use the website normally. Use “Analytics choices” to withdraw permission; the website stops sending events and removes accessible Google Analytics cookies. Your choice is stored on this device for six months. Browser privacy signals and analytics blockers may prevent collection. Hosting and payment services may use technology needed for their operation.

Sending an enquiry does not subscribe you to a newsletter. If we offer an optional marketing signup, we will explain what you are signing up for and how to unsubscribe.

Your information and choices

We keep information only as long as needed for the purpose it was collected, ongoing customer service, and applicable record-keeping obligations. We restrict access to information to those who need it for these purposes.

You can email codeblackbjj@gmail.com to request access to or correction of your information, discuss withdrawing consent, or request deletion. We may need to verify your identity. Some information must be retained for legal, accounting or other permitted reasons; we will explain any applicable limits. Withdrawing information needed to arrange an order may prevent us from completing it.

Online registration and member requests

When online submission is available, Code Black Jiu-Jitsu collects the details you provide to handle registration, safety, enquiries and cancellation requests. Membership registration includes participant and guardian details, program selection, acknowledgments, initials and an electronic signature. We retain the exact signed agreement and the server-recorded receipt time. Emergency contact details are collected separately with the training waiver. Cancellation requests and private owner tracking records contain the details needed to confirm the applicable agreement, billing dates and final training date. We do not collect medical documents in these forms. We do not collect card details through these forms; payment is handled separately by Helcim.

Records are stored privately using our website hosting provider’s database and document storage. Once connected, our business Google account processes your submission to send completed copies to you and codeblackbjj@gmail.com. Google Contacts holds the contact name, email, phone and a lead or registration-status label. For children, the contact is the parent or guardian. Signatures, dates of birth, emergency contacts and medical information are not copied into Google Contacts. A form submission does not subscribe you to marketing or prove payment.

Our hosting and Google service providers may process information outside Canada. Access to saved website records is restricted to the business owner. Temporary, hashed request identifiers are used to limit abuse. Please do not include diagnoses or medical documents in a general enquiry or registration form; contact us to arrange a private discussion.

Signed agreements and related records are retained as needed for membership administration, insurance, legal obligations and the establishment or defence of claims. Retention may differ for minors and records subject to a legal hold. Media consent is recorded separately within the agreement and remains subject to applicable privacy rights.
